Behive Stays is a hostel-management app used by hostel operators — owners, wardens and staff — and by the residents who live in those hostels. This policy explains what the app collects, why, who can see it, and how to get it deleted.
In this policy, “we” means the Behive Stays team, the operator of the app. “Your hostel” means the hostel operator whose account you were registered under.
What we collect

We do not collect contacts, browsing history, device identifiers for advertising, or any data from other apps. The app contains no advertising and no third-party analytics or tracking SDKs.
How your data is used
Only to operate your hostel: verifying attendance, counting meals so the kitchen cooks the right amount, managing the library, and handling complaints and bills.
We do not sell your data, use it for advertising, or profile you. We do not share it with anyone beyond the infrastructure providers listed below.
Who can see it
- You see your own records.
- Your hostel’s operators — the owner, and staff granted the relevant permission — see the records of their own hostel, including check-in photos, for verification. A staff member only sees the modules the owner has enabled for them.
- Other hostels cannot see your data. Each hostel is isolated by per-hostel, per-role database security rules enforced on the server.
- We access data only when strictly necessary to operate, secure or debug the service, or where the law requires it.
Where it is stored
Data is stored with Supabase (our database, authentication and file-storage provider) and is encrypted in transit using TLS. Access is controlled by role-based database security rules.
How long we keep it
- Your account data is kept while your account is active.
- You can delete your account at any time — see below.
- If your hostel closes its account, its residents’ data is removed with it.
Deleting your account and data
You can delete your account and data at any time, directly in the app:
- Open Behive Stays and sign in.
- Go to Settings.
- Tap “Delete my account & data” at the bottom and confirm.
Deleted permanently and immediately: your account and login, your profile (name, email, room, floor), your check-in records and the check-in photos taken with them, your meal opt-ins and collections, and your library loan history.
Kept, with your identity removed: complaints you raised and billing records your hostel issued are retained by your hostel as anonymous records, because the hostel needs its own maintenance and financial history. These no longer reference you and cannot be traced back to you.
Deletion is permanent and cannot be undone. There is no recovery period and no backup restore. If you rejoin later you will need a new account.
Hostel owner accounts cannot be self-deleted in the app, because removing an owner would destroy the records of every resident in that hostel. To close a hostel, email us from your registered address and we will confirm before deleting anything.

Permissions the app asks for
- Camera — to scan your hostel’s QR codes and to take the live check-in photo. Nothing is ever captured without you tapping the button.
- Location — a single foreground reading during check-in, to confirm you are at the hostel. The app never accesses location in the background.
- Photos — only if you choose to attach a photo to a complaint or set a profile picture.
You can refuse or revoke any of these in Android Settings. Refusing camera or location means attendance check-in will not work, but the rest of the app still does.
Your rights
You can access your data in the app, correct it (or ask your hostel to, for fields they manage such as room and floor), and delete it as described above. To exercise any right, or to complain about how we handle your data, contact us below.
Children
Behive Stays is intended for adults (18 and over) — hostel residents and operators. It is not directed at children and we do not knowingly collect data from them. If you believe a child has an account, contact us and we will remove it.
Security
All traffic is encrypted with TLS. Access is restricted by per-hostel, per-role rules enforced on the server, not just in the app. If you believe you have found a security problem, please report it to the contact address below rather than disclosing it publicly.
Changes to this policy
If this policy changes in a way that materially affects you, we will update this page and change the “last updated” date at the top. Significant changes will also be announced in the app.
